The administrative career ladder runs from administrative assistant supporting a small team, to senior administrative assistant covering a partner or director group, to executive administrative assistant supporting a single managing director or board-level executive, to office manager running a site or HQ, and onward to director of administration or chief of staff. Lateral moves are common: senior admins frequently move between law firms, banks, and consulting firms within the same level. Vertical moves typically take 3-5 years per rung. The chief of staff path branches off at the EAA level and is more strategic and less tactical than office manager.

Two non-linear moves are common at the senior admin and EAA levels. First, chief of staff to a CEO or division head - a more strategic role focused on operating cadence, board prep, and cross-functional project management rather than day-to-day calendar work. Compensation is materially higher (often $130K-$220K) but requires a strong analytical track record. Second, executive assistant to family office or single-family office (SFO) - a high-trust, high-discretion role serving a high-net-worth principal, with compensation in the $120K-$200K range and unique exposure to estate planning, philanthropy, and personal travel logistics. Both paths usually require 4+ years at EAA level plus a personal recommendation from a senior executive who has seen the work.
An administrative assistant CV is read in a hurry by an office manager or chief of staff who has 80 of them on the desk and 12 minutes to triage. The strongest CVs do three things consistently: name the actual software (SAP Concur, iManage Work, BambooHR, 1C, Coupa, Robin, Envoy) instead of saying 'office software', quantify load (expense reports per week, calendar density per executive, T&E dollars reconciled, headcount onboarded), and tie outcomes to a recognizable business cycle (busy season, board meeting cadence, fiscal close, IPO road show). Generic 'managed calendars and supported the team' bullets get filtered out before the recruiter calls. The bar for hireable is a number, a real tool, and a reproducible outcome on every line.
